General Policies and Information

 

Your Contract
Your contract is with Bear Berry Cottage, Inc., a Colorado registered corporation. All checks should be made payable to Bear Berry Cottage, Inc.

Prior to receipt of your booking deposit, all prices are subject to change without notice. Once we receive your booking deposit, along with a signed booking form, your price is guaranteed for the original arrangements.

All prices are subject to a sales and lodging tax (9.4%). Should the tax rate vary from this prior to your booking, adjustments may be made to your final balance.

Your Reservation
After making your reservation, a booking form will be emailed or faxed to you within twenty four hours. For guests who do not have access to email or a fax machine, the booking form will be sent by Federal Express overnight delivery to your address, also within twenty four hours.

Reservation Policies:

Initial Deposits

Non-Holiday:
At the time of booking, a credit card is required to secure your reservation. To confirm your reservation(s) please send a deposit of 50% of the total package cost along with a signed booking form. This deposit must be received within ten days from the date of your booking. If the initial deposit is not received, Bear Berry Cottage will charge a $150 cancellation fee to your credit card.

Holiday (Christmas, New Years etc):
At time of booking a credit card is required to secure your reservation. To confirm your reservation(s) please send a deposit of 50% of the total package cost along with a signed booking form. This deposit must be received within ten days from the date of your booking. If the initial deposit is not received, Bear Berry Cottage will charge $300 cancellation fee to your credit card.

Final Payments

Non-Holiday:
A check is preferred on the balance due. The remaining 50% is due 60 days before your arrival date.

Holiday (Christmas, New Years, etc.):
A check is preferred on the balance due. The remaining 50% is due 75 days before your arrival date.

Confirmation of the vacation package by Bear Berry Cottage, Inc. is subject to the receipt of the required deposit in cleared funds and receipt by mail or a fax copy of our booking form with the guest's signature, which confirms acceptance of these terms and conditions.

Cancellations & Refunds
In the case of cancellation, payments are refundable less the cancellation fee as outlined above (and less any agency and credit card fees) only if the Cottage is fully re-booked for the same period and price. We advise you to notify us immediately in writing if you wish to cancel so that we may have the greatest opportunity to release you from your commitment to us by re-booking the Cottage. Group Leaders should make all guests in their party aware of these terms.

There are no full or partial refunds for late arrivals or early departures. We highly recommend purchasing Travel Insurance to protect your vacation plans.

Check-in/out Times
Check-in time is from 4:00 - 6:00 p.m. You will be greeted by your host at the Cottage. Please call ahead to advise if you will be late. If guests arrive before this time, they may leave luggage at the Cottage. Check-out is by 10:00 a.m. Late check-out is possible by prior arrangement only.

Telephone/Fax/Internet
A fax machine is available for guest use. Faxes can also be sent to guests via our office (970-870-9009).

Our COTTAGE BASIC RENTAL includes:

  • Daily light housekeeping service with beds made and waste baskets emptied; thorough cleaning and linen change after 7th day

  • Free nationwide long distance telephone

  • Free high speed wireless internet connection

  • Free use of printer and fax machine

  • On-premise caretaker in separate living quarters

  • Use of two-car heated garage

    Our COTTAGE FULL SERVICE PACKAGE INCLUDES:
    All of the services outlined in the Cottage Basic Rental and in addition:

  • MEALS: Our full-service lodging packages include gourmet meals (breakfast and three course dinners). The food is definitely a highlight of any stay - our experienced chefs bring flavors from around the world, which combine for a wonderful mountain dining experience. This also saves numerous trips to the supermarket as well as the task of food preparation and clean-up for the group. All meals, except for 2 dinners are included in a 5, 6, or 7 night stay - we encourage our guests to experience Steamboat's nightlife on the nights when dinner is not included.

  • AIRPORT PICKUP/LOCAL AREA SHUTTLE: Guests won't need to rent vehicles because we provide all local transportation - to the ski area and to local activities (natural hot springs, powder-cat skiing at Buffalo Pass, snow-mobiling at Rabbit Ears Pass, Steamboat shopping trips, cross country skiing, etc.). We also pick up guests and return them as needed to the Steamboat/Hayden airport.

  • FLIGHT PACKAGES & AIRPORT PICKUP: We have saved our guests hundreds of dollars with wholesale Flights which are available in combination with our lodging package. Our local regional airport, Steamboat/Hayden (airport code: HDN) offers reliable direct jet service in winter from New York-Newark, Chicago, Dallas, Houston, Los Angeles, Minneapolis and Denver with great connections to over 150 US cities and is just 22 miles from downtown Steamboat Springs.

  • LIFT TICKETS/SKI RENTALS: We offer our guests lift tickets and ski/snowboard equipment rentals for advanced reservations. Advanced reservation offers the added convenience of having everything organized for arrival, so guests waste less time on their first day. We have arranged for ski rentals to be brought to the Cottage for personal fitting.

  • HOUSEKEEPING: Daily light housekeeping service with beds made and waste baskets emptied; kitchen cleaning after meals; mid-week change of linens and towels; and thorough cleaning after 7th day.

    ADDITIONAL AVAILABLE SERVICES AT SEPARATE COST:

  • While weddings are no longer permitted at Bear Berry Cottage, we are pleased to offer WEDDING/PARTY PLANNING SERVICES for your special off site events. We create traditional events, however, our specialty is theme parties, holiday decorating and weddings.

  • Grocery purchasing prior to your arrival

  • Private secretarial on-site services

  • Private masseuse on-site services

    Guidelines to insure a wonderful experience while staying at Bear Berry Cottage:

  • The person making the reservation and signing the booking form is referred to as the "Group Leader". The Group Leader is responsible for advising other guests in their party of these Terms and Conditions. The Group Leader accepts responsibility for his/her actions and the actions of other guests in their party when they sign our booking form. It is preferred that group members communicate with Bear Berry Cottage through their Group Leader. E-mail or fax is preferred over phone conversations as this provides a record of communication that can be retained in the booking file for future reference.

  • Adventure mountain travel, skiing, snowboarding, and outdoor activities at any time of year involve risks about which the guest(s) must make himself/herself aware. The responsibility of Bear Berry Cottage, Inc. does not extend to cover any liability for personal injury or property damage that occurs while participating in any activities on- or off-property arranged by our staff. You participate in all activities at your own risk. Guests must accept the risk of slippery conditions at all times inside and outside of Bear Berry Cottage.

  • The guest(s) agree to be responsible for and to replace or make good any injury, damage or destruction to the Cottage, its furnishings, equipment, and/or vehicles caused by him/her or by any member of his/her party.

  • The guest(s) agree to act in a responsible manner towards other guests, Cottage staff, and neighbors of adjoining properties. If at any time during the stay a guest acts in an unruly or malicious manner and does not adhere to requests by Cottage staff to behave appropriately, he/she will be required to vacate the Cottage premises immediately and forfeit all monies for the remainder of his/her stay.

  • Guests also agree that:

  • 1) no more than six cars are to be parked on Bear Berry Cottage driveway at any time

  • 2) there is to be no parking on Ridge Road or on adjourning neighbors property.  A towing truck will be called for any vehicles in violation of this City ordinance.

  • 3) all loud music or other loud sound is to be turned off by 9:00 pm so as not to disturb neighbors

 

  • use or possession of illegal drugs, including marijuana, on the property or in the company's vehicles shall result in the immediate termination of the vacation or lodging package for the guest(s) concerned with forfeiture of all monies paid. The under-age consumption of alcohol by guests, or illegal driving while intoxicated or any accident involving intoxication of guests shall not be the responsibility of Bear Berry Cottage, Inc. or its employees (we shall take what steps we can to avoid such incidents). Guests are advised that the City of Steamboat Springs has noise ordinances in residential neighborhoods; please take this into consideration when planning your vacation. Noise complaints are fined by the City at up to $999 and up to 180 days in jail per incident. Guests are liable for this fine and if ticketed, must make a personal appearance in Steamboat Springs Municipal Court.

  • Guests agree to abide by Colorado's Motor Vehicle Laws, including the requirement for front seat passengers, and children aged between 4 and 16 seated anywhere in the vehicle, to wear a safety belt. Children under the age of 4 or weighing less than 40 pounds are required to be secured in a restraint system appropriate for their size. A toddler-size car seat and a booster seat are available for guest use. Parents traveling with infants should bring their own car seat or arrange to rent one before arrival. Guests are solely responsible for ensuring that arrangements are made to provide adequate equipment to comply with these laws.
